Information We Collect

When you register for a Beyond the Club experience, we collect the following:

• Name, email address, phone number, and mailing address
• Payment information processed at the time of booking
• Health and dietary needs relevant to your participation
• Photo and video consent preferences

How We Use Your Information

We use your information to process your registration, communicate experience details, accommodate your health and dietary needs, and manage payments. We do not sell your personal information or use it for purposes unrelated to your experience.

Third Parties

To deliver your experience, we share relevant information with hotels, venues, and activity providers. This may include your name, dietary needs, and health considerations necessary for your safety and comfort. These partners are not authorized to use your information for any other purpose.

Photos and Video

Photos and video may be taken during Beyond the Club experiences and used for marketing purposes, including on our website and social media. By registering, you consent to this use. If you prefer not to be photographed, notify us in writing prior to the experience and we will do our best to accommodate your request.

Data Security

We take reasonable steps to protect your personal information from unauthorized access or disclosure. Payment information is processed through secure, encrypted channels.

Agreement

By registering for a Beyond the Club experience, you agree to these terms and conditions in full. Please read them carefully before submitting your registration.

Experience Operator

Beyond the Club experiences are operated jointly by Southworth Members Club and Alpenglow Travel, a licensed travel agency. All experiences are planned, managed, and executed under their shared oversight and are covered under Alpenglow Travel's insurance policies.

Payment

Full payment is due at the time of registration. Your spot is not confirmed until payment is received in full. Your Southworth member account will be charged the same business day.

Cancellation by Participant

All payments are nonrefundable. If you need to cancel, notify us in writing as soon as possible at kylee@alpenglowtravel.com. We will make every reasonable effort to fill your spot from our waitlist. If your spot is filled, you will receive a full refund of all payments made. If your spot cannot be filled, no refund will be issued.

Cancellation by Southworth

In the unlikely event that we must cancel an experience, we will notify all registered participants as soon as possible and issue a full refund of all payments made. We are not responsible for any additional costs you have incurred, including flights, accommodations booked separately, or other travel expenses.

Travel Insurance

We strongly recommend that all participants purchase comprehensive travel insurance prior to the experience. Coverage should include trip cancellation, interruption, medical expenses, and evacuation. Southworth Members Club and Alpenglow Travel are not responsible for any losses resulting from your decision not to purchase travel insurance.

Health and Safety

You are responsible for ensuring you are in adequate health to participate in experience activities. You agree to disclose any health conditions, dietary needs, or mobility limitations that may affect your experience or safety. Beyond the Club reserves the right to remove any participant whose behavior or health condition poses a risk to themselves or other guests, without refund.

Conduct

All participants are expected to treat fellow guests, staff, and vendors with respect and in accordance with the Southworth Way. This means offering feedback constructively, using the right tone with the right audience, and conducting yourself with basic decency. Beyond the Club reserves the right to remove any participant for disruptive or inappropriate behavior without refund.

Liability

Southworth Members Club and Alpenglow Travel are not liable for any injury, illness, loss, damage, or expense arising from your participation in a Beyond the Club experience, including but not limited to acts of nature, illness, travel delays, or actions of third-party vendors. By registering, you agree to hold Southworth Members Club and Alpenglow Travel harmless from any such claims.

Governing Law

These terms are governed by the laws of the State of Colorado. Any disputes will be resolved in the courts of Colorado.

Changes to These Terms

We reserve the right to update these terms at any time. Any changes will be communicated to registered participants in writing.
